Our specialists for imaging, digital printing and release papers are located at our Pulaski, NY location. In addition to sales and distribution for North America, the more than 100 employees take care of converting and packaging for the domestic market.

Responsibilities:

The Site Administrative Assistant will manage supplies, conference rooms, uniforms and company apparel/store. Additionally, this role will support, plan and manage on-site and off-site events, travel and meeting arrangements, the I Love My Workplace Committee, as well as all administrative duties for the leadership employees on site. Incumbent assists the HR Manager and Site to helps ensure a smooth flow of accurate information is communicated to and from the executive offices. Requires considerable knowledge of the Company's and the executive's methods of operation. This is a highly responsible job with a substantial degree of latitude for independent judgement.

  • Set-up and organize uniforms & safety shoes
  • Manage Company store and apparel (set up and maintain company store, find a vendor, manage employee allowances, manage on-site stock of apparel and uniforms, etc.)
  • Organize and maintain company events, including scheduling, coordination, lunches, coffee, order flowers, supply shopping, etc.
  • Support and organize the I Love My Workplace events and involvement in the group
  • Maintenance of mill postings – events, jobs, record keeping, etc.
  • HR and administrative mailings, files, handbooks, new hire packets, benefit packets, open enrollment support
  • Miscellaneous mail, packages, sorting, in-house delivery, packages, copies if needed, scanning of AP invoices received for SAP upload (for finance) & Outgoing mail duties such as stuffing envelopes, applying postage, meter, certified mail, misc. Packages, etc. (helping to support admin staff, HR, Finance, etc.)
  • Answering Phones; including the “Night bell” and main office phone; along with the front desk
  • Misc. copies needed and scans – AP checks and wire remittance details weekly, month end journal entries, etc.
  • Weekly filing; including daily, weekly and yearly boxing/storage of files
  • Organization/clean up (files, projects, documents, offices, misc.)
  • Pulling info from files, SAP, pulling together information, creating reports, etc.
  • Miscellaneous projects, excel files, etc.
  • Admin support for TCU (including, filing, scheduling, etc.)


Hourly rate starting at $20/hour, depending upon experience.

Requirements:

  • B.S. or A.S. Degree in Business, or related area would be a benefit; but related experience can be accepted in lieu of educational requirements.
  • Demonstrated proficiency in software applications – MS Office products, etc.
  • Mastery of organizational skills, scheduling meetings, working cross functionally across all levels of the business
  • Strong relationship management skills and demonstrated critical thinking skills.
  • Excellent written and oral communication, as well as listening skills.
  • Creative thinking and problem solving; strong interpersonal skills; energetic, self-motivated and persistent
  • Ability to operate with a high degree of independence within agreed policies, targets, and budgets.
